Campground Office Manager

The Coombs Office Manager will carry out all duties under the guidance of the Directors and the Middlegate Office Manager. He/she will have extensive dealings with guests. The Coombs Office Manager will work closely with other campground staff and will report directly to the Middlegate Office Manager. Duties and Responsibilities Office Management:

  • Office opening: ensure the timely opening of the campground office/store and prepare office to receive guests (set out sign board, turn on office hours sign, check office equipment is working, prepare pens/guest registration clip-boards, etc.)
  • Office closing: perform security checklist – bring in signs/equipment, lock cash register and safe, AC turned off, fridge/freezers closed, office sign turned off, blinds down when closing the office each night, check window and door locks
  • Ensure strict adherence to COVID-19 Safety Plan pertaining to guest management, facilities (pool, playground, arcade), staff distancing, regular sanitation of office/check- in supplies (pens/clip-board) and high touch surfaces, prominent display of health advisory/distancing signs, hand sanitizer for guests and staff, PPE for staff as required
  • Maintain office/store space to ensure it is presentable to guests – including light cleaning of office (sweeping, dusting, window), empty garbage, good presentation of signs and mindful not to display information that is not meant to be public (staff notes etc.)
  • Ensure office space is well organised so that it functions efficiently and in line with the safety plan
  • Organise the storage room and keep it tidy
  • Ensure easy access to safety equipment (fire extinguisher) and first aid kit
  • Supervise and train office assistants – emphasizing the importance of customer service
  • Prepare staff schedule and maintain daily staff sign in/sign out sheet and health tracker for ALL staff
  • Complete payroll template for ALL staff and submit to Middlegate Office Manager as per payroll schedule
  • Prepare office supply reorder list and give to Middlegate Office Manager for procurement
  • Daily cash out/reporting – prepare daily report on receipt history against POS register and interac machine for verification by Director/Middlegate Office Manager
  • Prepare deposit slips (bank deposit book) and attach receipts from POS register from cash payments received
  • Prepare daily summary from Moneris and receipt slips for VISA, Interac for processing
  • Prepare deposit bag/slips for daily pick up by Directors/Middlegate Office Manager o Prepare daily report on ‘float’ in POS register
  • Ensure float is adequate
  • Monitor main garbage collection points and inform operations if action needs to be taken
  • Inform the directors and Middlegate Office Manager on issues of concern and make suggestions on ways to strengthen overall management of the office and the campground more generally

Manage Bookings:

  • Ensure timely follow up on reservation enquires: info@, telephone, Facebook and walk-ins (‘one day rule’)
  • Process bookings: create reservations, review charges and payment dates, manage guest notifications, ensure reservation deposits are current, contact guests about upcoming reservations as required
  • Process reservation deposits – locate reservation in FF, verify amount received and mode of payment in guest charges, review and update charges and payments as required
  • Timely management of the phone and email
  • Process cancelations in Firefly and prepare refund summary for director
  • Ensure guest profiles in Firefly are complete and verify if guests agree to be contacted via email for information and upcoming offers
  • Manage the dashboard on Firefly – always keep it clear

Store Management:

  • Manage store inventory – restocking, preparation of purchase order, removal of expired items, pricing and price labels as required
  • Maintain up to date POS in FF including application of taxes (PST and GST)
  • Ensure POS register is well maintained (IPAD is charged, supply of receipt tape, ink, etc)
  • Vendors: order stock, accept deliveries and check invoices against items received
  • Vendor management – company name/contacts updated
  • Collect invoices for accounts payable and give these to the Coombs Office Manager
  • Ensure store looks welcoming and organised

Guest Care:

  • Welcome guests and address customer needs in a friendly and efficient way
  • Ensure guests are aware and in agreement with the Code of Conduct and waiver – sign and initial
  • Manage sign-up sheet for pool/hot-tub and distribute/retrieve bracelets/tokens
  • Prepare daily check-in summary sheet for operations by 10 am and perform site checks by 1 pm.
  • Manage camper complaints and refer difficult cases to the Directors
  • Provide guests with change/tokens for showers and arcade
  • Take names/deposits for RV plugs
  • Provide bathroom lock codes as required
  • Manage cooking tools (wine opener, can opener) by taking guest ID/site number
  • Manage rental/sign out for game equipment/activities (paddle board, ping pong, etc.)
  • Process sale of wood bundles and ensure adequate stock in coordination with operations staff
  • Provide information to guests about the local area and tourist sites
  • Address the needs of all guests and actively solve problems

Guest Registration and Processing Payments:

  • Manage campground booking system (Firefly) including ensuring charges, taxes, site parameters, photos, and other information are current and accessible
  • Guest management: ensure all documentation is properly completed and filed
  • Enforce PHO regarding COVID -19 as required (informing staff assistant of COVID rules and implications for guests)
  • Registration of campers, verify stay and charges, and add-ons such as wood and sani-dump, confirm reservation deposit, process payment and provide receipt to guest
  • Create data base of guest emails (from info@ and FF)
  • Process e-transfers in FireFly
  • Update camping credit summary table

Social Media:

  • Encourage guests to leave reviews on Google, Trip Advisor and Facebook
  • Encourage guests to follow us on Facebook
  • Check review and document complaints for social media advisor
  • Ensure guests have agreed to receive information and marketing emails from CCC
  • Generate content for our FACEBOOK page and share with social media consultant
Education required:
  • Certificate in Management and/or Hospitality Sector
Experience & skills:
  • Proven track record in tourism and excellent customer service is essential
  • Organised with a friendly and personable demeanour
  • Knowledge of social media is desirable
  • Candidate must be good with computers, other office equipment (cash machine, Moneris, printers) and have strong working knowledge of Microsoft software – email, Word, Excel
  • Ability to learn new campground management software a must

Additional Info:
  • Full-time (approximately 37 – 40 hours per week (5 days per week)
  • Expected to be available on long weekends throughout the summer season
  • Contract type: payroll with deductions
  • Seasonal contract (May – September) with wages paid every two weeks and end of season bonus
  • Potential for reduced hours throughout the winter camping season (Oct – April)
  • Probation: three months
  • Notice for termination/resignation: one month
