Middlegate Properties

The Office Manager will report to the Directors/Operations Manager but is expected to carry out duties and responsibilities independently with minimal supervision.

The Office Manager is responsible for the day-to-day management of various rental properties and is required to deal directly with the public.  Ability to plan and organise is key as are good people skills. The Office Manager will oversee the planning and implementation of all issues related to the management of the properties. The Office Manager will work closely with the Directors of the properties.

Duties and Responsibilities

·       Deals with public in person and on the phone by responding and following up on inquiries for rentals
·       Oversight and preparation of rental contracts and accompanying documents
·       General office administration (contact lists for service providers and staff rosters)
·       Staffing: scheduling/reporting/supervising and training
·       Daily/weekly updates on reservations/occupancy levels
·       Maintenance schedule
·       Support to Operations Manager

Accounts Receivable/Payable
·       Prepares work to be accomplished by gathering and sorting documents and related information
·       Accounts receivable: receiving and registering rents on Promas System
·       Reconcilement of bank accounts and credit card accounts
·       Pays invoices by verifying transaction information, scheduling and preparing disbursements, obtaining authorization of payments,
·       Obtains revenue by verifying transaction information, computing charges and refunds, preparing and mailing invoices, identifying delinquent accounts and insufficient payments
·       Collects revenue by reminding delinquent accounts, notifying customers of insufficient payments prepares financial reports by collecting, analysing and summarizing account information and trends
·       Maintains accounting ledgers by posting account transactions
·       Verifies accounts by reconciling statements and transactions
·       Resolves account discrepancies by investigating documentation, issuing stop payments, payments or adjustments.
·       Maintains financial security by following internal accounting controls
·       Series financial information by completing data base backups
·       Maintains financial historical records by filing accounting documents
·       Posting deposits
·       Payroll: workers compensation, etc
·       GST (collection, submission)

Education required:

·       Bachelor’s degree in applicable field an asset but not required

Must demonstrate strong computing skills (Word, Excel etc.)

Courses related to admin/finance also beneficial



Experience & skills:

·       Previous office management experience including supervision and training of staff
·       Knowledge of management/accounting system software and/or ability to learn (PROMAS)
·       Good organization skills
·       Ability to work independently
